Main documents for road transport

Every document related to a given transport serves as proof of its execution. Some of them are a mandatory part of the documentation that must be provided to the client, while others are presented only if necessary or if they have been prepared by the shipper of the goods. The main documents are as follows:

Commercial Invoice

It is issued by the shipper of the goods, often after the goods have been loaded. This is done in cases where the price of the goods depends on the loaded quantity. This invoice serves as proof that the goods are already the property of the consignee and that they can dispose of them as they wish.

Here, we can also note the proforma invoice, which may serve as an offer, a document for import/export authorization, and other similar purposes.

Packing list

It contains a list of the assortment of goods being transported. Mandatory requirements for completing the packing list include: the name, types according to the goods nomenclature in the given country, and the quantities of each type of goods. Indicating prices in the packing list is not mandatory.

Various certificates

  • Certificate of Origin;
  • Certificate of Quality;
  • For Phytosanitary Control;
  • Veterinary Certificate, etc.

CMR / Bill of lading – key documents in the transport of goods

CMR – prepared in 7 copies. It contains various requisites, some of which are mandatory in our work. These include:

  • Stamps at the loading address (box 22) and unloading address (box 24)
  • Stamps from the subcontractor (carrier) – box 16 and box 23
  • Entry of the vehicle registration number, if it was not already included when the CMR was issued by the consignor
  • Entry of loading and unloading dates, if they were not recorded at the respective points

Bill of Lading – here the mandatory requisites are a detailed description of the loading and unloading address, type, units of measure and weight of the goods, loading and unloading dates, as well as the vehicle number.

Delivery note

A delivery note is issued when the consignor sends homogeneous goods to several of their clients. It includes requisites such as the name, weight, and price of the goods.

Insurance and customs documents

These are various documents ensuring the safe and legal passage of the goods across different state borders. The main ones include:

  • Cargo Insurance – a key insurance document that protects the client and their goods from various risks such as theft, damage, etc.
  • Customs Declaration – completed by both the importer and the exporter.

Temperature Printout (Thermal Strip)

Provided only if the goods required transportation in a refrigerated trailer. It is printed from a special device in the trailer and serves as proof that the transport was carried out in compliance with the client’s specified temperature limits for storing the goods.
